Targeted Announcements and Email Broadcast

Targeted announcements is a feature within 49er Express that allows Specific Users the ability to communicate to various constituents within 49er Express. This documentation is intended for these "Special Users" that have been granted the administrative ability to use this service.

To get started you may want to review the List of Admin Users that have rights to send these messages as well as Instructions, Guidelines, and Authorization on how to construct and send messages. You can also review some basic Questions/Answers.

 

If you wish to send a targeted announcement to students or faculty within 49er Express, you will need to first identify the technical contact within your own college, division, or department. Each college, division, department will have defined their own process when sending a targeted announcement so it is important that you find the appropriate contact. These technical contacts will assist you with the approval and processing of targeted announcements.

The persons authorized to use Targeted Announcements follows the guidelines in accordance with: Electronic Mail Policy - Statement #20 and Responsible Use of University Computing and Electronic Communication Resources - Policy Statement #66.

The following are documents to assist in the administration of this service. You no longer need to attend a traditional classroom training session in order to be authorized to send Targeted Announcements. Just review the guidelines and print/sign the Authorization Form returning it to ITS - Application Support.

• Regarding EMAIL, Is there a record limit of 250 like when sending via Outlook?
  
  No limit. When you select he message to be sent the next working day, it starts at approximately 1am and loops over each user sending them a unique message. It does not do a Bulk BCC. It sends one at a time.
  
  
• How do I target a specific list of users? How do I generate a custom list of users to target my message to?
  
  If you have a select audience that you would like to send a message to, you first need to generate the list of IDs and then format them in the proper sequence for our system to import. You can get custom lists through the registrars office, or through analytical users in your group that have access to WebFocus reporting. The generated custom list of IDs then needs to be properly formatted so it can be imported and made available to the Targeted announcement managers.
  
• When Sending Targeted Emails, who is listed in the FROM field?
  
  Since the message is sent from a message system, the from is listed as:
